The automated pipeline creates a de-identification candidate, not a legal certification.

Why review is required
Automated PHI detection has confidence scores and may miss context. Approval means you reviewed the sanitized output for this pilot; it does not replace Safe Harbor validation or an Expert Determination.

Structured identifiers are aggressively redacted. Dates are reduced to year where recognized, ages over 89 are grouped as 90+, and free text is scanned for PHI.

Enabling the PHI switch is an operational decision. It should only be done after the applicable AWS BAA is accepted and Civaren/customer business-associate responsibilities, policies, access controls, incident response, and workforce procedures are established.

Retention

Raw quarantine: deleted immediately after successful sanitization, with a 1-day lifecycle backstop.

Sanitized pilot data: 30-day lifecycle.

Application events: metadata only; prompts and raw healthcare files are not written to the audit events table.

Contractual controls

The paid workflow records affirmative acceptance of the current Customer Agreement and Business Associate Agreement. PHI intake requires a paid, agreement-current account in addition to the server-side PHI gate.
